Cancellation policy

1. Registration
    Cancellation must be made in writing and sent to the Registration Secretariat by email.
    The notification should include all relevant details for a possible refund.
    Refunds will be processed in the same form as the original payment.
    Please note: Cancellations are only effective once a written acknowledgment is received from the Registration Secretariat.

2. Cancellation Fees for Registration
    Until 2 March 2026: Administrative fee of €50 per participant.
    From 2 March 2026 to 1 May 2026: 50% cancellation fee.
    After 1 May 2026: No refund.

3. Accommodation Cancellation Policy
Full payment for hotel accommodation must be made no later than April 1st .
    Until 30 March 2026: Full refund.
    From 30 March until 30 April 2026: 50% cancellation fee.
    After 30 April: No refund.

4. Social Events and Excursions
    Payments for social events and excursions are non-refundable as of 1 May 2026.

Registration confirmation/receipt

All submitted registration forms are carefully and manually reviewed by the Registration Secretariat to ensure all details are accurate. Once your completed form, payment, and any required documentation have been verified, a personalized registration confirmation/receipt will be sent to your email.

By submitting this registration form, you confirm that you have read and agreed to the Terms, Conditions, and Privacy Policy of Company for International Congresses Ltd. (CIC), the only official registration and event agent for IAFS.

The data you provide (name, title, institution, email, phone, presentation details, etc.) will be used for:

    Event administration, registration, scheduling, and communications
    Printing your badge and creating a virtual business card
    Sharing with organizers, speakers, and relevant participants for the scientific program
    Publishing abstracts and event materials
    Inclusion in the event mobile app
